LOGFYX

Every depot, crew and contractor, on one system.

Councils run fleets, plant, depots and contractors across many sites. Keep every check, induction and toolbox talk on record and ready for an audit.

Accountable to the community.

Councils run fleets, plant, depots and facilities across a whole municipality, with outdoor crews, office staff and contractors working side by side. Any decision can end up in front of an auditor, an insurer or the community.

Records spread across depots, paper forms and spreadsheets make it hard to show that a mower was checked, a contractor was inducted or a toolbox talk was held.

LOGFYX brings those records into one system that works on any phone, with nothing to install. Each one is signed, time-stamped and kept, so audits, claims and reviews have the evidence they need.

Across your council

Switch on the modules each team needs. Outdoor crews, coordinators and managers only see the ones they use.

Roads and works

Road crews, trucks and heavy plant checked before work starts.

  • Prestarts on trucks, graders and rollers from each asset’s QR code
  • A failed item can take the asset out of service until it’s fixed
  • Fitness for duty before each shift
  • Toolbox talks on the day’s hazards, with attendance

Parks and gardens

Mowers, chainsaws and small plant, with the same care as the big machines.

  • Risk assessments for each piece of plant, flagged before they expire
  • Unsafe equipment tagged out on the spot
  • Manuals and procedures for every machine, on any phone
  • A skills matrix showing who is trained on each

Waste and depots

Fleets that work every day, from depots that never stop.

  • Every vehicle with its own QR label and history
  • Faults sent to the workshop as numbered jobs
  • Trips logged with odometer readings
  • Vehicle and plant status across every depot

Facilities and contractors

Libraries, pools, halls and offices, with contractors and visitors coming and going.

  • Contractor visits booked, with inductions sent before they arrive
  • Visitors sign in on their own phone, with no login
  • Site maps, first aiders and evacuation points for each facility
  • Notices to one site or every site, with a record of who has read them

A shift with LOGFYX

  1. 06:30

    Fitness for Duty

    Outdoor crew signs on

Each person completes a quick self-assessment. A concern goes to the coordinator before work starts.

  2. 06:45

    Prestart Check

Truck and mower checked at the depot

Every item OK, fail or N/A, with photos. A fail goes straight to the coordinator.

  3. 07:00

    Toolbox Talks

    The briefing before heading out

Traffic management for today’s roadworks, who attended, acknowledged by the crew.

  4. 09:00

    Contractor Management

A contractor arrives at the pool

Inducted before arrival and signed in by QR code.

  5. 11:30

    Fault Reporting

    A fault on a ride-on mower

Reported with photos from its QR code, and the workshop gets a numbered job.

  6. 15:00

    Site Notices

    A notice to every depot

A change to a procedure goes to every site at once, and each person must acknowledge it.

Prestart Check

Check a vehicle or machine item by item: OK, fail or N/A, with photos. A fail goes straight to the supervisor, can take the asset out of service, and stays open until it's fixed.

Fleet Management

A complete fleet management system: every asset's details and registration, servicing history and schedules, collisions and repairs, fuel cards, expiry alerts, acquisition and disposal, and the total cost of owning and running it.

Plant Risk Assessment

Score each hazard on a piece of plant. The asset is flagged a week before its assessment expires, and again once it has.

Fitness for Duty

Staff assess their sleep, alcohol and drugs, and health before they start. Supervisors assess what they can see, with a drug and alcohol test step. A concern means no work until a supervisor clears it.

Contractor Management

Book contractor visits and send inductions before they arrive. They sign in at the gate by QR code, and you're alerted if they stay past their finish time.

Site Visitors

Visitors sign in at the gate on their own phone, with no login: induction, photo and signature, and the person they're seeing is told. They sign out with a link.

Toolbox Talks

Record the talk, who attended and any files, then send it to the site. Everyone acknowledges it, and every talk is kept for your audits.

Site Notices

Send a notice to one site or every site. Critical notices must be acknowledged, they arrive by email too, and you can see who has read them.

Equipment Manuals

Keep manuals, SOPs, policies and inductions in one place. Staff tick each one they've read and sign once, and you can see who hasn't.

We’ll set up a demo with your depots, facilities and assets, then walk your coordinators through it.
